NKU's Contracts & Compliance team and what it reviews

NKU's Students page gives Contracts & Compliance, shortened to C&C, three jobs:

• Reviewing the contracts and compliance portion of self-placement requests submitted to Medatrax.
• Helping students with Medatrax and with PreCheck/Sentry.
• Finalizing the whole placement once all three portions are approved, which sends the official approval email through Medatrax.

C&C is not the team that judges your preceptor's clinical fit. That preceptor review belongs to the Clinical and Concentration Coordinators, who are named only inside the MSN Clinical Information Canvas. C&C looks at two things: the site's contract status and your own clearance record.

Because C&C also finalizes the placement, it is the last stop before your rotation is official. Anything incomplete, on either side, has to be resolved before that last step can happen.

The Students page assigns C&C staff by concentration, each with a published NKU email address. As of September 2026 it shows:

• One staff member for FNP.
• One for PMHNP.
• One covering Nursing Education, Nurse Executive Leadership and AGACNP, plus the legacy AGNP track.
• One more who handles some FNP and PMHNP students.

Staffing on the page has shifted before. The PMHNP contact in a December 2023 copy is not the person listed today, and the fourth contact was added by April 2026. Check the live Students page or your Canvas shell for the current name before you write, and include your track and session in the subject line so your message lands with the right person.

The same page lists the other people students deal with: Clinical and Concentration Coordinators for track questions, the Clinical Instructor for each course, and your academic advisor for sequencing. Picking the right inbox first means fewer messages bounced between teams.

Two systems sit behind the compliance portion. PreCheck StudentCheck runs the state and federal criminal background check that MSN, post-master's certificate and NP-to-PMHNP applicants complete at admission, with any cost falling on the applicant. Sentry, through SentryMD, tracks clinical compliance records; a 2025 CHHS page on the COVID-19 vaccine told students to submit proof of vaccination through PreCheck via SentryMD.

NKU keeps the full MSN requirement list off its public pages. Immunizations, TB, CPR and similar items are listed in Canvas, under "General Clinical Information" in your concentration shell and in the MSN Clinical Information course, and the online FAQ says students are notified once "verified as clinically ready." The detail sits on NKU clinical compliance, the PreCheck background check and Sentry tracking.

The contract half of C&C's review concerns the site. If NKU already holds an affiliation agreement with it, that part is in place. If not, NKU negotiates one with the contact you provided, and it must be final before the clinical term. Affiliation agreements explains how that negotiation runs and why it can outlast a session's lead time. The contract check is also why the site contact you give matters: when that name belongs to the person who handles student agreements, the negotiation has a real starting point.

On insurance, NKU bills student liability coverage as a fee attached to each clinical course and does not publish the insurer or the policy limits. If a site asks for proof of coverage, C&C or your Canvas shell is where to start; liability insurance covers what NKU does publish.

C&C finalizes a placement only when every portion is approved: the coordinators' preceptor review, C&C's own contract and compliance check, and a third portion NKU does not describe publicly. Finalizing is what triggers the official approval email from Medatrax.

NKU's online FAQ describes that moment in older terms, as a notification sent once the student is verified as clinically ready, and it names InPlace as the system. Medatrax is the one in use now. Either way, the approval email is the record to keep. C&C reviews what arrives, and we make sure what arrives is complete. A placement advisor confirms the site's agreement status at the outset, supplies the site contact when a new agreement is needed, and gathers every document NKU asks of the preceptor so nothing on the placement side is outstanding.

We also prompt you to clear your own PreCheck and Sentry items ahead of the session, since compliance travels in the same review. Your request reaches C&C early in NKU's 90-day window and in one piece. Approval is NKU's decision; the completeness of what lands on C&C's desk is our job. If a preceptor withdraws after approval, we remain available through the session and find a replacement, ideally at a site already under an NKU agreement so the contract side moves quickly.
