NKU clinical compliance: what has to clear before your rotation starts

Two files have to be in order before an NKU clinical begins: yours and your placement's. Yours covers your RN license, the PreCheck background check and the items tracked in Sentry; the placement side covers the preceptor review and the site contract. Medatrax sends the official approval email once every portion clears.

What clinically ready means

NKU's online FAQ says students are notified once they are "verified as clinically ready." On the current nku.edu pages, the signal is the official approval email Medatrax sends after the Contracts & Compliance team finalizes a self-placement request. That email goes out only when "all three portions" of the request are approved.

NKU names two of those portions: the preceptor review done by your Clinical and Concentration Coordinators, and the contracts and compliance review. The third is not named publicly. Your personal compliance record is checked inside that review, so one lapsed item can hold up a placement that is otherwise complete.

The FAQ still refers to InPlace for submitting preceptor details. Every current nku.edu clinical page names Medatrax, and that is the system to follow.

Each student-side row has its own guide: the PreCheck background check, student liability insurance and your RN license and the compact.

Where NKU lists your health items

NKU keeps the MSN health and certification list off its public pages. Advising points you to the "General Clinical Information" section of your concentration Canvas shell, and the MSN Clinical Information Canvas holds clinical deadlines and preceptor requirements. Work from that list rather than a generic checklist written for another school.

Self-enroll in both shells as soon as you are admitted and switch on Canvas email notifications; NKU asks students to do this so deadline changes reach them. Post-master's DNP students find the equivalent material in the DNP Info Site.

Who reviews what

Three NKU roles touch your clearance. Knowing which one owns a question saves days of back-and-forth.

Contracts & Compliance works the contract and compliance portion of every self-placement request, helps with Medatrax and PreCheck/Sentry questions, and finalizes the placement. Staff are assigned by track; the Contracts & Compliance guide covers the team.
Clinical and Concentration Coordinators complete the preceptor review in Medatrax and answer questions specific to your concentration. NKU lists who they are inside Canvas rather than on its public site.
Your Clinical Instructor is the contact for the course itself, shown in myNKU under Class Schedule and inside Canvas.

The placement side of clearance

Your own record is half the picture. The preceptor has to meet NKU's rules for your track and supply a CV or resume, a license and the signed Preceptor Responsibilities form, then build a Preceptor Profile in Medatrax. Getting the Preceptor Agreement signed is your job. The preceptor paperwork guide lists each piece and who sends it.

The site needs an affiliation agreement with NKU, signed off by NKU and the site before your clinical term. If none exists, you pass NKU a site contact and NKU negotiates from there. NKU is candid that a new agreement may not be final before class starts, so a site with an existing agreement is the faster route.

Timing clearance against a 7-week session

Preceptor information is due to NKU no less than 30 days before the clinical, and NKU highly recommends a 90-day lead. Because Contracts & Compliance reviews your record as part of the same request, your items should be current on the day you submit, not caught up afterward.

NP students take one clinical per 7-week session and file a new request for each rotation, so the review repeats several times a year. Check each expiration date in Sentry against the last day of the upcoming rotation as well as the first. The deadlines guide lays both windows over the 2026-27 sessions.

FAQ

Questions NKU nursing students ask

Does NKU publish the immunization list for online MSN students?

Not on its public pages. NKU posts the health and certification requirements inside Canvas, in your concentration shell's General Clinical Information area, with deadlines in the separate MSN Clinical Information course. Lists borrowed from other schools or old forum posts may not match NKU's. If an item on your Canvas list is unclear, the Contracts & Compliance staff member for your track handles PreCheck and Sentry questions.

Is the background check from my NKU application enough for clinicals?

It is the check NKU requires at admission: PreCheck StudentCheck, covering state and federal records. NKU's public pages do not describe a repeat check for online MSN students, so watch your Canvas shells for any change. A clinical site can run its own onboarding on top of NKU's, so ask your preceptor's office early what it expects.

What compliance applies to the post-master's DNP practicum?

NKU keeps the DNP handbook, practicum guidelines and announcements in the DNP Info Site on Canvas. What is public: a current, unencumbered U.S. RN license at admission, plus a liability insurance line and a practicum fee billed on each of DNP 881 to DNP 884. Check the DNP Info Site before your first project course opens.

How do I know when I am cleared to start?

Watch for the official approval email from Medatrax. It arrives after Contracts & Compliance finalizes your self-placement request, once all three portions are approved. Until it lands, treat the rotation as pending, even if your preceptor has said yes and the site has signed. Once the course opens, your Clinical Instructor, listed in myNKU, is your day-to-day contact.

Who do I email about a compliance problem?

Start with the Contracts & Compliance staff member assigned to your track; NKU's Students page on the preceptor site lists them, and they handle PreCheck and Sentry questions. Broader placement questions belong in an email to studentclinicalinfo@nku.edu. Questions about your concentration's own rules go to your Clinical or Concentration Coordinator.
