Your session is close and there is no preceptor yet

Start by counting back from the first day of your session. NKU's minimum is 30 days before the clinical begins, its recommendation is 90, and your cohort's posted deadlines sit in the MSN Clinical Information Canvas. Those Canvas dates govern; the arithmetic below is ours.

Take Spring 1 2027, which starts January 11. Ninety days back lands on October 13, 2026, and thirty days back on December 12, 2026. Fall 2 2026 begins October 21, so its 30-day mark fell on September 21; once a session's 30-day mark is behind you with nothing filed, talk to NKU before anything else. Knowing which side of each line you are on decides the rest: between 90 and 30 days, a focused search can still land comfortably; near 30, every hour spent on paperwork counts.

3. Aim at sites that clear quicklyFavor sites that already hold an NKU affiliation agreement and practices your preceptor owns or manages.
4. Collect paperwork the same dayWhen a preceptor agrees, gather the CV or resume, license and signed Preceptor Responsibilities form at once, and ask them to start their Medatrax profile.
5. File without waitingSubmit the Medatrax self-placement request the moment it is complete, then watch your NKU email for questions.

NKU's own FAQ points the way. When a site already has an affiliation agreement with NKU, or the preceptor owns or manages the practice, clearance can take a few days. When a new agreement is needed, NKU and the site negotiate it directly, it has to be final before the term, and NKU says there is no certainty it will finish before class starts.

On a short timeline, that makes three kinds of site worth trying first: health systems that already host NKU nursing students, a different unit or clinic at your own employer, and independent practices run by the clinician who would precept you. A short timeline changes the order of work, not NKU's standards. The preceptor still needs a year in role, a current license in a state NKU approves, a job at the site and space under NKU's student cap. The setting still has to fit your course. Coordinators still review the preceptor, Contracts & Compliance still checks the contract and your compliance items, and all three portions of the request must clear before Medatrax sends approval.

Treat the official approval email from Medatrax as your green light, and confirm with your Clinical Instructor before any hours begin. Cutting a corner here costs more time than it saves, because a request returned for a missing item has to be fixed and reviewed again. NKU lets you take one clinical per 7-week session, and most clinical courses are prerequisites for the next. So a rotation that cannot start on time usually moves to the following session, and the clinicals behind it move with it. Talk to your Clinical Instructor and academic advisor early about how your sequence would shift.

A delay is not the end of the plan. With a full session of lead time, the next search runs on the recommended 90-day schedule, and a placement advisor can line up that rotation and the ones after it together. Short timelines are where a dedicated search pays off most. A placement advisor narrows the search to clinicians who already meet NKU's rules for your track and to sites most likely to clear quickly, confirms the preceptor can commit to the 7-week schedule, and has the paperwork packet ready the day they agree.

You file a complete Medatrax request instead of a partial one, and you have one contact tracking every open item until NKU's approval email arrives.
